Client reports and sharing

How to build client reports from templates, export PDFs, share live read-only links, brand them for your agency and send them by email on a schedule.

Three ways to share results#

  1. Reports — a report built from a template over a period, with charts and tables, viewable online and as PDF.
  2. Client links — a live, read-only page for a client with the project's key numbers, always up to date.
  3. Report emails — a report sent automatically on a schedule.

All three use data you already have. Reports never start new scans.

Generating a report#

  1. Open Data › Reports.
  2. Choose a Template, the Project and the Period.
  3. Click Generate report. The price, if any, is on the button.

Before generating, a preview window tells you, section by section, what is missing — for example "no map scan in this period", "no AI run", "Search Console not connected", "Before/After needs two scans". If everything is missing, the button stops and says why. If some parts are missing, you can Generate anyway; missing sections say "not measured" instead of showing zeros.

While the report is built#

After you confirm, a window Building your report shows the progress section by section. You do not have to wait in it: close the window or go to any other screen and the report keeps building.

A strip at the top of every screen follows it: "Generating <report> · Section 12 of 57 · <section> · ~40 s left". The time left is measured from how fast this report is going (or from your earlier reports) — before that it shows the time elapsed. With several reports at once it shows "+N more". The strip comes back after a page refresh until the report is finished. The same strip follows the Full PDF in AI Visibility › Reports.

  • Report ready · <report> · built in N s with Open — when it is done.
  • Report failed · nothing was charged with the reason — when it could not be built. The reserved credits come back automatically.

Close the strip with ✕ or by opening the report. A finished report stays in the strip for about ten minutes.

Generated reports are listed under Generated reports with links to open, share or download the PDF.

What reports contain#

Reports open with a cover in your client's colour, a contents page and numbered sections. Typical sections:

  • Summary — tiles per source with the change and a sparkline, plus "Not in this summary: …" for sources that are not connected.
  • Trends — map ARP and coverage, organic position distribution, AI mentions, Search Console and GA4 over time.
  • Movers — keywords that went up and down.
  • Competitors — share of voice and map competitors.
  • Audit progress — health score history, fixed and new issues.
  • Work done and Next steps — from the recorded work in the period and the open issues, each with its number.
  • Data coverage — what was and was not measured.

Charts show gaps where data is missing; position charts put better positions at the top.

PDF#

Every report can be downloaded as a PDF in A4, with the contents on its own page. AI visibility also has its own detailed PDF in AI Visibility › Reports (AI visibility).

Open Reports › Client links (or Settings › Project › Advanced settings › Client links) and click Create link. Set Expires in days (0 = never). Copy the link and send it to your client. They see:

  • Google Maps over time (ARP and coverage).
  • Organic search: counts, distribution and movers.
  • AI assistants: mentions over time.
  • Page speed (Core Web Vitals) if measured.

The page works on phones, follows the visitor's light or dark setting, and needs no login. Competitor domains and internal data are not shown. Revoke stops a link immediately.

White-label#

In Settings › Project › Advanced settings › Client branding:

  • Client (white-label) — the client's name on reports and links.
  • Accent colour — used on the cover, headings and the share page.
  • Hide the "Rankfinity" signature .

Report emails#

In Settings › Project › Advanced settings › Report emails, each scheduled report type has its own settings:

  • Frequency, day and time in your local time zone.
  • Recipients: you, team members, and up to 10 external addresses.
  • Skip if nothing changed — do not send when there is nothing new.
  • Stop sending to me — removes only you; when nobody is left, the report turns off (day and time are kept).

External recipients get a signed link to view the report (valid for 45 days) and a one-click unsubscribe. Unsubscribed addresses are shown read-only so you know why they no longer receive it. After a long series of sends with no sign that anyone reads them, sending pauses.

From your AI assistant#

Reports that Claude, ChatGPT or another assistant saved through the MCP connector are listed under Reports › From your AI assistant, newest first. Open one to read or print it, copy its public link (only when sharing was switched on), or delete it. They are cleaned before they are stored and shown in the Rankfinity report style; white-label settings apply. Saving and sharing them is free.

Saved#

Data › Saved keeps snapshots you saved from Domain overview, Keyword, Content gap and other tools. Each keeps the data exactly as it was, and opening them is free.

Common questions#

Can my client log in instead of using a link? Yes, with a client account; see Team and client access. For most clients the link is simpler.

Why does a section say "not measured"? That data does not exist for the period — for example no map scan was run. Run it and generate again.

Do reports cost credits? Some templates have a price, shown on Generate report. Viewing, sharing and downloading a generated report is free.

Will my client see prices or our data sources? No. Reports show results only, never prices.

Can I schedule a report to a client who has no account? Yes. Add their address as an external recipient in Report emails.
