Kinds of email#
Rankfinity sends four kinds of email:
- Account and security — sign-in links, password resets, new sign-in notices, email change confirmations. You always receive these.
- Billing — payments, receipts, plan changes, low credits.
- Project alerts and reports — changes in your rankings, map, AI answers and site, crawl reports, scheduled reports.
- Product news and tips — only if you agreed to it.
All emails come from office@rankfinity.app.
Project alerts#
Set alerts per project in Settings › Alerts (with the project selected). Each alert type can be turned on or off, and some have a threshold:
| Alert | When it fires |
|---|---|
| Average map rank got worse | Your map ARP worsens by at least the threshold (in positions) |
| Fewer map points in the top 3 | Your share of grid points in the top 3 falls by at least the threshold (percentage points) |
| A competitor overtook you on the map | A competitor moves ahead of you in the local results |
| A new critical site issue | A crawl finds a new critical problem, or a page's Core Web Vitals go from Good to Poor |
| AI visibility fell week over week | Your AI mentions fall by at least the threshold (percentage points) |
| An integration or scan stopped working | A Google connection, crawl or scan fails several times in a row |
After each rank tracking run you can also get an email with keyword movements and competitors that moved ahead of you in the organic results.
For each alert choose how it is delivered: instant, daily digest or off. To avoid floods, you get at most one alert email per project every 6 hours; more changes are grouped.
The email switch in the project's alerts turns off all alert emails for that project, including crawl reports — for everyone, including clients who turned them on.
Email me (per project, per person)#
Click ⋮ next to the project picker (or ⋮ › Email me in All projects). This is your personal choice for the project:
- Backlinks — Off, Weekly or Monthly. Reads the last saved backlink snapshot, free. An optional paid refresh fetches fresh data before each email; the price is shown and it is off by default.
- Keywords — Off, Weekly or Monthly: new and lost keywords. Uses Search Console if connected, otherwise your rank tracking runs.
- Site audit — On or Off: whether you personally get the site audit alerts.
- Crawl report — On or Off: the email after every finished crawl.
Weekly emails go on Monday and monthly ones on the 1st, in the morning in your time zone.
The crawl report#
After every finished site crawl you get "New crawl for <project>" (if Crawl report is on). It shows pages analysed, site health and its change, errors / warnings / notices, and What's new: each check with its count and the change (+N red, −N green) and a View link that opens the issue directly. The first crawl says changes will show from the next one. Failed or cancelled crawls send nothing; a crawl stopped by its limit is marked "stopped early".
By default it is on for the project owner and members who receive alerts, off for clients and other members.
Your week#
Your week is one weekly email covering all your projects, sent on Monday morning in your time zone. Each project gets sections only where there are two comparable measurements:
- Site health — fixed and new issues, score before and after, top new issues with effort.
- Keywords around page one — keywords that fell off, and good news: keywords that entered the top 3 or page one.
- Competitors — who overtook you in the results.
- Map — top 3 coverage and the biggest losses.
- AI visibility — mentions and share of voice, and prompts where AI now names someone else.
- Backlinks — new and lost referring domains from your saved snapshot.
If you received an alert in the last 6 hours, the summary waits an hour. Clients receive only keywords, map and AI sections.
Which emails you get#
Open My account › Notifications. The card Which emails you get holds your personal choices for all projects:
- Scheduled reports
- Alerts about your projects
- Weekly summary of your projects
- Site audit notifications (crawl reports and critical issue alerts)
- Getting-started tips
- Product updates, Newsletter and Offers (marketing) — turning these on gives your consent; you can withdraw it at any time.
Unsubscribe from all turns off everything that can be turned off. Account, security and billing emails are always sent.
Unsubscribing from an email#
Every non-essential email has an unsubscribe link at the bottom:
- Turn off in an Email me email stops that one type for that project.
- Unsubscribe from this project in a crawl report stops crawl reports for the project.
- Unsubscribe from all Site Audit notifications stops crawl reports and critical issue alerts for all projects.
One click is enough; no login is needed. Mail apps that show an "Unsubscribe" button next to the sender use the same mechanism.
Credits running low#
When your balance runs low you get an email and an in-app warning, with a cooldown so you are not emailed repeatedly. See How credits work.
Common questions#
I don't receive any email. Check your spam folder and add office@rankfinity.app to contacts. If an email to you bounced, the app shows a banner asking you to check your address.
I get too many emails. Switch project alerts to daily digest, turn off Crawl report in Email me, or use Which emails you get.
Can my client receive alerts? Clients can turn on their own emails for shared projects. Some sections (audit, backlinks, competitors) are for the agency only.
Why didn't Your week arrive? It needs two comparable measurements in the week. With no new data, sections are left out; with nothing at all, no email is sent.
Are emails translated? Emails are in English.
